We have tried to make Logging in to NetDocuments as secure and easy as possible. To login to NetDocuments, simply go to vault.netvoyage.com using Internet Explorer, enter your username and password, then click login. First time users will be asked to install an Active X control. This is perfectly safe and allows NetDocuments limited access to several programs on your computer to provide a more seamless experience. After the installation you should see your NetDocuments Home Page. The rest of this article deals with other login options and technical explanation, as well as NetDocuments Service Requirements.

Login
The NetDocuments Service login page is located at vault.netvoyage.com. This page is hosted at the secured data center where the software and your documents actually reside. This facility operates on powerful redundant servers and is supported by long-term redundant power generators in case of electrical failure. When you login, you will see your last login time and date so you can verify if you are the only one using the account. It will appear as follows: NetDocuments also maintains a login link on its corporate website, as a convenience, at www.netdocuments.com. Because this site does not have redundancy built into it, we recommend that you utilize the direct link to the Service listed above. There may be times when this site, www.netdocuments.com, is not available, when the actual service link, vault.netvoyage.com, is available because of its built-in redundancy.
We recommend that administrators and trainers encourage users to bookmark their home page at vault.netvoyage.com to avoid any confusion and potential website failures or to make a shortcut on their desktop or on the browser links bar to access NetDocuments. Firms that have a corporate Intranet should use that link for the login rather than directing users first to www.netdocuments.com. If you want to go to the ND2 (Mobile) interface directly, you can use this URL, https://vault.netvoyage.com/neweb2/mobile/home.aspx This Interface is the same interface used for mobile devices, the Firefox or other browsers, and Macs. It can be used in cases where the Active X cannot be downloaded or with devices, such as MACs, that do not support Active X controls. It has a reduced feature-set compared to the standard interface.
NOTE: A user may also choose to bookmark any other page in NetDocuments, to access NetDocuments. For example, if you use the Recently Opened Docs page a lot then you could use https://vault.netvoyage.com/neWeb2/worklist.aspx as your initial login page. You should not create a link to https://vault.netvoyage.com/neWeb2/login.aspx, because you'll be forced to log in every time you click that link, even if you've already logged in and have used the system within the last 90 minutes.
Active X Install:
You will be asked to install an Active X program the first time you use NetDocuments.
NOTE: Your NetDocuments Administrator may have installed this program for you. See below for the Install program information.
If you see the red text below, it means that the Active X did not get installed. Depending on your browser settings, you may be able to install it by clicking the yellow ribbon at the top or adjust the browser settings in Tools, Internet Options, security tab to allow the Active X to install.
If you do not see the yellow ribbon at the top, generally it means you do not have sufficient rights in Windows to install programs. (You must have Windows Administrator rights.) You should contact your IT personnel in this case and they can either adjust your settings or they can login as the Windows Admin and install the Active X for you on that computer. If you do not see the message with the red heading, you probably already have the Active X installed.
Installing the Active X with the Installation Program
If you are not able to get the Active X downloaded automatically, you can enter the following URL in the browser to install the Active X control as an installed program – https://vault.netvoyage.com/neweb2/newebcl.msi This download still requires that you have rights to download programs to your computer. This installation program may also be used by your NetDocuments Administrator to "push" the Active X install to your computer remotely. In that case, you will not be prompted to install the Active X program. If a NetDocuments Administrator "pushes" this program to your PC, we recommend that they do it from the beta server no sooner than one week prior to the next update of the service. If the msi installation program is used to install the Active X program, it will not be visible in the Add-in section of the browser. It will be installed in the Program Files, NetDocuments directory. It will also show up in the Windows Control panel, under Add/Remove Programs and will be called NetDocuments Document Activation. You can verify which version it is by clicking the Support link. If you had a previous Active X installed using the browser, that Add-in may still be showing in the browser Add-in section as an older version even though you have installed a newer version using the msi installer program. The newer version will be used by NetDocuments. If you are using Roaming Profiles, there is nothing special that you have to do to install it. Just use the URL above or go to the NetDocuments Login page on the user's computer and install it. You do need Windows Administrator rights on that PC to install it.
Settings to make the Active X not prompt when being installed
If you do not want the Active X to prompt you when it installs, you can make the following adjustments. Go to Tools, Internet Options, Security tab, then click the Custom level … button, then Enable the following option. The next time you go to the NetDocuments login page, you will be prompted with an install dialog. You can choose to always allow NetDocuments to install and you will not see this dialog in the future when a new Active X is installed.
NetDocuments requires a username for authentication. If you forget your username, click the Forget Your Password link on the Login page and enter your email address. An email will be sent to you displaying your username. You can choose to enter a password also if you want. Usernames are NOT case sensitive. Usernames are unique across the NetDocuments Service, so it is possible for a username to already be in use for NetDocuments.
Often users will use the part of their email to the left of the @ sign as their username. Probably more often than not, users choose to use their complete email address to ensure it is unique. (This is the default setting when an administrator creates a new user). This also works well when setting up External Users so they can more easily remember the username. If you use the automated login feature, you will only be entering your username once a day or at home or other locations where you access NetDocuments. Your organization will most likely dictate the format to be used for the username.
Caution – Usernames cannot be changed, used, or re-used by other individuals per the Terms of Use Agreement.
Caution – When registering a new user account, the user's first or last name CANNOT contain quotes.
Password
Password Criteria:
- Passwords must be at least 6 characters long.
- The password is NOT case sensitive.
- Passwords cannot include the username. For example, if the username is “jones”, the password cannot be “jones”, “sJones”, “jonestt”, or “alJonesAc”.
- Passwords cannot be comprised entirely or mostly of the user’s initials. If all occurrences of a user’s first and last initials or first, middle, and last initials are removed from the password, there must be at least 3 remaining characters in the password. For example, if the user’s name is Albert S. Thompson, the following passwords are not allowed: “astast”, “atatat”, “batrat”, “atlast”, “lastbat”. The following passwords would be allowed: “breakfast”, “lastbatter”.
- Passwords cannot include a word in the name of any repository the user is a member of unless the word is “of”, “the”, or “and” or the word consists of a single character. For example, members of a repository named “Jones Real Estate Services” would not be allowed to use the following passwords: “bridgetjones”, “really”, “quickservices”.
- 8 unsuccessful login attempts will lock an account from access for 15 minutes. Due to Internet delays, this could take several minutes to be reset beyond the initial 15 minutes.
- If you forget your password, please use the Forget your Password link on the Login page to receive an email so you can define a new password. Note that Allow automated password recovery from the Personal Information option in Settings must be checked. This is selected by default when you register.
Forgot your Password:
If you forget your password, go to the Login page and select the "Forgot your Password?" link as shown below with the green arrow. It will send you an email with a link to enter a new password. Administrators should also use this link to send a new password reset email to a user in their repository. You can also use this link if you have forgotten your username.
NOTE: If you use the Automated Login option, you will still need to remember your username/password to login at other locations such as your home or at a client location.
Certificate-Based Login
A digital certificate is an electronic file that establishes your personal credentials for security purposes. Digital certificates are issued by a third-party trusted Certificate Authority (CA), such as Thawte. When a CA issues a digital certificate, it verifies that the owner is not claiming a false identity, just as when a government issues you a passport, it is officially vouching for the fact that you are who you say you are! When a CA grants you a digital certificate, it puts its integrity behind your identity based on credentials you submit during the registration process. CAs like Thawte usually offer a warranty assuring the validity of your identity. For more documentation on Certificate-based login, click here.
To enable this capability, login to NetDocuments and do the following:
- Click on Settings
- Click on Login Information
- Check Allow certificate-based login
- Click on Register Certificate Note: You should already have registered a certificate with your Windows operating system prior to registering it with NetDocuments. If you have not, a window will open and appear blank for some time before returning a "Cannot find server" error.
Automated Login
When using NetDocuments, for security reasons, as a user you will be logged out automatically after 90 minutes of inactivity. As a NetDocuments User you can enable an automated login option if your organization utilizes Microsoft Active Directory services. This feature requires Active Directory Services and a Windows XP or higher client machine. It only works when that Service is available to you on the organization's network. The Automated Login option appears automatically on the login page if Active Directory Services are enabled. If the Automated Login is enabled, after 90 minutes of inactivity, you will be re-logged into NetDocuments.
To enable this feature within NetDocuments:

Reported Error Message:
When using Auto-Login, we have had one report of the following error message on Vista. If you encounter this, follow the steps below.
“Problems with this Web page might prevent it from being displayed properly or functioning properly. <snip>

The error indicates that the private key created at the time automated login was enabled is no longer present on the workstation. Here’s how he can fix it:
1. Go to https://vault.netvoyage.com/neWeb2/login.aspx?logout=Y. This will bring up the login page with automated login temporarily disabled so he won’t get the error.
2. Log in using username and password.
3. Go to Settings | Login Information and uncheck “Enable automated login”. Click OK to close the dialog.
4. Go back to the Login Information dialog and re-enable automated login.
Service Requirements
Client Operating System:
Windows© XP SP3, Vista SP1 and Windows 7 are supported using an ActiveX control in Internet Explorer. We have tested the 64-bit Vista and 64-bit Windows 7 OS and are not aware of any issues when using the NetDocuments Service. The Apple Mac, Unix, Android, iOS, and Linux are supported only with the alternate NetDocuments ND2 Interface. If you have a device using one of these operating systems, you will be automatically logged into the ND2 interface. You can also use NetDocuments on a smartphone using that same ND2 interface. See Using Mobile Devices in Help for more information on devices such as iPhones, iPads, Android, Blackberry, and Windows Mobile devices, etc. with NetDocuments.
Hardware/Software:
For each User, the minimum Client PC should be sufficient to function with the Operating System software plus adequate disk space and memory.
Server for the Local Document Service:
Windows XP operating system SP3, 2 Ghz CPU, 2GB of RAM, sufficient disk space to store all documents plus 15%. A current-level OS and computer are recommended.
NetDocuments-supplied Office and Adobe Integration:
If you are using the application integrations supplied by NetDocuments, the following versions are required.
Microsoft .NET Framework 2.0 SP1 is also required to be installed for these integrations.
We do NOT support 64-bit Microsoft Office.
Microsoft Word – version 2002, 2003, 2007, 2010
Microsoft Excel – version 2003, 2007, 2010
Powerpoint – version 2007 and 2010
Microsoft Outlook – version 2007 and 2010.
As of Dec 1st 2011 we will no longer be supporting bug fixes in our Application Integrations in Outlook 2003

Workstation requirements for the Email Management Service:
If you are using Email Management Service (EMS), then you need the following: Email Management clients work better with more PC memory and faster processors. We suggest a minimum of 2GB of memory and a current-level CPU.
1. Microsoft Exchange Server 2003 or higher.
2. Outlook 2003-SP3 or 2007 or 2010
3. Windows XP SP3, Vista SP1 and Windows 7.
4. Microsoft .NET Framework 2.0, SP1.
If you need .NET Framework 2.0, you can download it from this link: http://www.microsoft.com/downloads/details.aspx?FamilyID=0856eacb-4362-4b0d-8edd-aab15c5e04f5&displaylang=en Check to see if you already have the .NET Framework 2.0 installed by clicking Start on your Windows desktop, selecting Control Panel, and then double-clicking the Add or Remove Programs icon. When that window appears, scroll through the list of applications. If you see Microsoft .NET Framework 2.0 listed, the latest version is already installed and you do not need to install it again. This software is built into Vista and Windows 7 and does not require a separate install.
Internet Browser:
NetDocuments currently supports Internet Explorer 8, 9 (and 10 when it is released). NetDocuments plans to support the latest versions of Firefox, Chrome, and Safari in addition to Internet Explorer browser beginning June 7, 2012.
We recommend that you use the latest Internet Explorer version available; which is IE 8 with Windows XP and IE 9 with Windows 7. We highly recommend that IE 7 not be used because of performance issues. IE 7 will no longer be supported beginning June 7, 2012.
NOTE that we do NOT currently support the 64-bit Internet Explorer browser that is available with the Vista and Windows 7 OS.
For IE 8.0 + and for Vista and Windows 7, we require that you make https://vault.netvoyage.com a trusted site in the browser. To set the trusted site do the following: Open the Browser to your normal Home page. Double-click on the word Internet which is preceded by a globe. On the dialog, click the icon with "Trusted Sites" under it and click the Sites button. Enter https://vault.netvoyage.com and then click the Add button. Then click the Close button and then the OK button to exit the dialogs. Next Close the browser and re-open it and proceed to login to NetDocuments making sure that you load the Active X control when prompted at the Login page.
PROTECTED MODE OFF: If you are using Windows Vista or Windows 7, when you make NetDocuments a Trusted Site as described above, it will also automatically turn OFF Protected Mode when in the NetDocuments Site. You can verify this when you are logged into NetDocuments, by making sure that at the bottom right of the browser page, it shows Trusted Site and also Protected Mode: Off. If it shows Trusted Site, but Protected Mode ON, the easiest way to correct that is to go to the Browser Tools Option, select Internet Options and then select the Security Tab. At the bottom of the dialog, click Custom Settings, then make sure it is set for Medium Level and click the Reset button. Also, select the Advanced Tab and click the Restore Advanced Settings button. Also set your pop-up blocker provided in the IE browser. Go to Tools, Popup Blocker enable it. NetDocuments works with all browser settings as they are initially defaulted when setting up the browser. If you want to verify your settings or if they were changed, follow these steps: On the Browser tool bar, go to the Tools/Internet Options. Under the Security tab, click the Custom Level button at the bottom of the dialog and make sure the following are set to either Enabled or Prompted;
1. Download signed Active X controls
2. Run ActiveX controls and plug-ins
3. Script ActiveX controls marked safe for scripting.
NOTE: The use of Compatibility View in Internet Explorer is not supported when using NetDocuments.
Browser Setting to Re-use Tabs in IE 8.0 +.
You may want to check the following setting to minimize multiple tabs opening when using NetDocuments. The default is "A new tab in the current window", but changing it to "The current tab or window" will help minimize multiple tabs being opened when using NetDocuments. This is a personal preference and you may want to try each of the three options listed to see which works best for you. This page in IE is located under Tools, Internet Options, General, Tabs section. Click the Settings button and check "The current tab or window".
Other Devices and Browsers:
Other browsers, such as Firefox, Safari, or Chrome are currently supported with the NetDocuments ND2 Interface which does not provide all options and capabilities. We will be supporting these additional browsers with the native interface in the first part of 2012.
NOTE: Firefox has an extension called IE Tab, which simulates IE for designated URL addresses. A Firefox user can click on “extensions” in the Firefox Tools menu, then “More Extensions”, and search for IE Tab. It prompts for a small free download which is easy to use. A user can then assign the ND login and home page, plus the web folder URL, to the IE Tab, and NetDocuments will function without changing from the Firefox browser. Since we do not support Firefox, we do not support this option in Firefox, however we include this information here because a number of users have told us it works OK. With the alternate interfaces on other devices such as iPhones, iPads, Android, Blackberrys, Windows Phone, etc. our ND2 Interface can be used to access NetDocuments. Because of limitations of some of these devices not all NetDocuments features are available when using these devices. If you are using a PC with this interface or a Mac with this interface, you can download documents and work on them and then upload them back to NetDocuments.
Internet connection: We recommend that you connect to the Internet with a broadband connection. At home this would mean a cable connection or a phone DSL connection or equivalent. Using a 3G phone modem also works for individual remote or home usage. For larger commercial environments, we suggest you have at least a T1 connection. We also highly recommend for your office environment that you have a secondary ISP connection for redundancy.
Outlook Integration:
If you use the Outlook integration you must be using Outlook 2007 as a minimum. We recommend the latest Outlook be used.
Echo Settings: We recommend that you use Echoing in locations such as your office or home where you control access to the computer. We recommend that you do NOT use Echoing when at other temporary locations such as a Client's site, kiosks, Cyber cafes, etc.
Stay Current:
We strongly recommend that you keep your operating system and browser updates current. Timely updating also provides you with the latest security enhancements from Microsoft. To keep your computer current with the latest Microsoft updates for your computer's operation system, software, and hardware, go to http://v4.windowsupdate.microsoft.com/en/default.asp.
Screen Settings:
NetDocuments is designed for a minimum 1024X768 monitor resolution. A higher monitor resolution is recommended.
Single Clicking:
Links and buttons in NetDocuments generally require a single click as is standard when using a browser.
Please Wait messages:
Always wait for "Please wait" messages to complete. They indicate that the requested process has not completed. If you click ahead, your browser may hang and you may need to close the Please wait window. If this happens, go back and make sure your data is OK and the document you were accessing was not left in a "Checked out" state.
Browser Buttons:
Users can access the browser "Back" button at any time to return to a previous page when using NetDocuments. The "Back" button is especially useful when you do a View All in a search result, because it will take you back to the page you were previously working on. The Print, Refresh, Forward, Stop, and Settings (for initial setup of NetDocuments), are additional browser functions which may need to be used from time to time. The Ctrl+F function (Edit | Find option in the browser menu) may be useful when searching for an item in a Search Results, View All or folder. Most other browser functions are not used in NetDocuments.
Opening links in a new Window
We recommend that you keep the default setting in the browser to re-use windows. This will avoid having several browser windows open. When you open a web link, you can hold the Ctrl key down and then click the link to either open in another browser session or another tab if you are using IE 7+. (Outlook 2003 – 2010 always opens in a new window when you click a web link). Remember, as described above, if you open a browser and it overtakes the same window that you are using for NetDocuments, the Browser Back button will take you back to NetDocuments.
Closing your Browser without clicking Save:
If you have a document open for editing and then click the Exit button or choose File|Close within Internet Explorer, your opened document is protected. The NetDocuments Check In List remains active containing your checked out documents. The Check In List cannot be closed until you close and check in the document(s). You are then prompted to login to NetDocuments again, and any documents you had opened for editing will automatically be checked in. Always close documents before checking them in via the Check In List.
Using Multiple Browser Sessions:
If you are logged into NetDocuments in two separate browser windows only explicitly click Logout after you have closed one of the browser windows. The Logout in one browser will cause your other browser session to lose its active state and your open document will not save back to NetDocuments correctly. However, you can just CLOSE the second browser without any problem when you are finished with it.
Losing your Internet Connection:
If you lose your Internet connection or your computer crashes while you are working on a document, there are easy ways to recover. Read What to Do When the Internet is Down or Your Computer Crashes.
Repairing Internet Explorer:
In some IE installations if you encounter NetDocuments features that do not work, we suggest that you reset the browser. In IE you can click the Reset button under Tools, Internet Options, if you are encountering issues with the browser.

A short training outline, which can be used as a basis for training end-users, is provided in the Training Guides section in Help. You can use it as it is or augment it for designing training for your staff. On-line or on-site training for Users, Administrators and Trainers can be provided by NetDocuments at a per hour fee. Preconfigured Client Setup Wizard – Optional for Administrators only.
Use one of the following options to install the client software required to use NetDocuments. To run this, you must already be a member of a repository.
1. After selecting one of the options below, when prompted to Open or Save, Select Open (not Save).
2. Double click on the folder that appears.
3. Either doubleclick the ndwpt.exe file or select Extract All files to extract the zipped files.
4. Doubleclick the folder that displays.
5. You will see six or seven items. Click on the ndwpt.exe program and the install process will start.
6. After it completes, you will be prompted to login to NetDocuments. Login and then logout.
7. Open Excel, and enable the NetDocuments Add-in by going to Tools, Add-ins and check the box.
8. Restart your computer and you are ready to use NetDocuments.
Do NOT Install EMS -Select Option 1 or 2.
Option 1 – Word integration w/ the DocID in the footer.
Option 2 – Word integration w/ the DocID at the end of the document.
Install EMS – Select Option 3 or 4.
Option 3 – Word integration w/ the DocID in the footer.

NOTE: All configurations above also include the following settings:
- Active X and Cryptography controls.
- Office Integrations (Outlook, Word, Excel, 2007 Powerpoint)
- EMS Agent (If you selected Option 3 or 4 above).
- Microsoft .NET Framework 2.0 (Option 3 or 4 above only).
- Echoing enabled and set to 30 days.
- Auto Import NOT enabled.
- Desktop Email (MAPI) Integration enabled.
- PDF Streaming NOT enabled.
- Automated Login enabled (requires Microsoft Active Directory.
- Internet Explorer has vault.netvoyage.com set as a trusted site.
- Internet Explorer allows pop-ups for vault.netvoyage.com.

Log Out
If you have not manually clicked on Logout from within NetDocuments, you will be logged out automatically when your activity has been idle for 90 minutes. You are also logged out officially if you just close your browser session rather than clicking the Logout link. However, if you navigate to another website using that same browser session, you are still logged into NetDocuments for the standard 90 minutes. This means anyone could click the back button in that session on your computer and access your documents if you leave your computer. If you are using the Automated Login feature, you will be automatically logged back in when the 90 minute timeout occurs.
Closing Your Session
You can close your NetDocuments session in one of three ways:
- Click the Logout link at the top right of your browser (recommended)
- Click the browser's File|Close menu option
- Click the X at the top right corner of the browser window
Note: As a general practice, NetDocuments recommends that you click the Logout link when you have completed your session with NetDocuments rather than option 2 or 3. This allows NetDocuments to completely close your connection to the server and any related cookies.
Note: Also when you click the Logout link, if you have any documents which were not checked in, this process will automatically check them in, assuming that you have closed the document first. WE RECOMMEND THAT YOU ALWAYS USE THE LOG OUT BUTTON TO ENSURE YOU DO NOT LEAVE DOCUMENTS CHECKED OUT.
